Role Summary: The Fleet Maintenance Manager / Service Advisor is a pivotal role in the Operations Department responsible for ensuring the smooth operation and optimal performance of our fleet and equipment. You will lead a comprehensive preventative maintenance program and provide expert service advice to both internal teams and external vendors. Your role includes managing maintenance schedules, tracking performance data, ensuring regulatory compliance, and collaborating closely with technicians to deliver excellent service standards across all operations.

PRIMARY RESPONSIBILITIES
Fleet Maintenance and Service Management: Develop and lead a comprehensive preventative maintenance program in compliance with Ministry of Transportation standards. Oversee the scheduled maintenance and timely resolution of ad hoc breakdowns across our local and non-local fleet. Track and manage fleet performance data using our Fleet Management System, ensuring adherence to maintenance schedules and budgetary guidelines. Liaise with truck and coach technicians to establish replacement schedules based on manufacturer recommendations.
Service Advisor Functions: Act as a technical expert and primary point of contact for service-related inquiries. Coordinate with operations supervisors and vendors to manage both planned and unexpected maintenance activities. Oversee the communication of service expectations and the documentation of work completed, ensuring records meet regulatory and internal standards.
Vendor and Parts Management: Identify, negotiate, and manage relationships with reliable vendors for parts, tires, and maintenance services. Maintain accurate inventory records, oversee reordering processes, and ensure that all supplies are available as needed. Evaluate vendor performance to ensure service levels are met consistently.
People Management & Safety: Supervise and coach a team of maintenance personnel, ensuring workload distribution aligns with operational priorities. Lead regular safety meetings and maintain a safe working environment by enforcing internal safety protocols. Manage team performance through coaching, training, and performance evaluations.
IDEAL CANDIDATE
• Location & Schedule: Must reside in Hearst or surrounding areas. This is an on-site role with a typical schedule of Monday to Friday, 40+ hours per week, with varying overtime requirements and occasional on-call requirements.
• Travel requirements: 15% of your time will be spent travelling to the other Pepco locations.
• Education: High School Diploma (minimum); a college degree in technical discipline, fleet management, or related field is preferred.
• Certification: 310T Truck and Coach Mechanic Certification would be an asset but not mandatory.
• License and Certification: Valid Class G (or equivalent) driver’s license required; Class AZ/DZ considered an asset.
• Physical Requirements: Occasionally need to perform physical tasks, including lifting heavy objects, operating equipment, and tools up to 50 lbs/ 23 kg.
• Experience: Preferred candidates will have at least 3 years of experience in maintenance management, ideally within multi-location fleet setting. This background should include developing and executing preventative maintenance programs, managing repair schedules, coordinating with external vendors, and leading maintenance teams. However, candidates with a minimum of 3 years’ experience as a Service Advisor or in a technical support role within fleet or automotive environments—demonstrating skills in diagnosing technical issues and advising on maintenance strategies—are also encouraged to apply.
• Technical Proficiency: Demonstrated ability to diagnose and troubleshoot mechanical and electrical issues, including wiring and circuit troubleshooting. Experience with maintenance software and digital fleet management tools, ensuring efficient tracking, scheduling, and reporting of service and maintenance activities.
• Digital & Computer Literacy: Comfortable with computers and using Microsoft applications.
• Regulatory & Industry Knowledge: Comprehensive understanding of Ontario Ministry of Transportation regulations, including CVOR maintenance requirements, inspection standards, and preventive maintenance protocols. Familiarity with industry standards and best practices that enhance equipment reliability and service quality.
• Additional abilities: Preferably bilingual in French and English. Clear communicator, both verbal and written.
